How to spot an AI opportunity in your operations
Aug 2026Most small businesses do not have an AI problem. They have a clutter problem — too many repetitive tasks eating up the hours that should go to judgment, relationships, and growth. The good news is that the best AI opportunities are usually hiding in plain sight.
We use a simple three-part lens with clients: volume, rules, and drag. Volume means the task happens often enough that even small time savings add up. Rules means it follows a pattern a person can explain, even if the pattern is messy. Drag means it slows down something more valuable, like a customer conversation or a decision.
Common examples include data entry between tools, scheduling and reminder workflows, first-pass email triage, and draft reports that someone still has to finish by hand. If a task takes fifteen minutes and happens ten times a week, that is ten hours a month — enough to justify a closer look.
Once you have a short list, rank by impact and feasibility, not by how impressive the AI sounds. The goal is not to replace people; it is to remove the busywork so your team can do the work only they can do.
